Should a growing sales team choose HubSpot or Pipedrive?

Chris Bryant, Founder

Updated Nov 2026

Choose HubSpot when your team needs sales, marketing and service data in one platform. Pipedrive fits while deal tracking is the whole job. The choice tips when deals start to depend on marketing leads or service tickets. Before you switch, audit your Pipedrive data and plan which records need a one-time transfer.

Your sales team works its deals in Pipedrive, and the company now has marketing and service teams that want the same customer records. Marketing asks which campaigns produce deals. Service asks what each customer bought before the call came in. Someone in revenue operations owns the answer, because that person maintains the data every team reads.

Who faces the HubSpot vs Pipedrive decision

The decision reaches you in 1 of 2 forms. A team choosing its first CRM compares the 2 platforms from scratch. A team already on Pipedrive weighs the cost of a move against the cost of running more tools around it. The criteria below apply to both forms, and the migration section applies to the second.

The leader who will run the system after launch should make the call. That person carries the reporting, the field definitions and the user access. The choice should rest on how your data behaves as headcount grows.

Criteria for comparing HubSpot and Pipedrive

We weigh the choice on 5 criteria. Each one tracks how your records behave as more people and teams use them.

Criterion What to check Why it matters as you grow
Data scope Which teams read and write records Separate tools split the customer history
Data model Objects, associations and fields you need Unmapped data ends up in notes
Users and access Seats, teams and permissions More users require tighter edit rights
Migration effort What moves by sync and what moves once Effort grows with record history
Total cost Licenses, seats and setup work Each added tool adds a sync to maintain

This guide leaves license prices out of the cost row. Neither vendor’s pricing page was part of our research for it, so get a current quote for your seat count from each one before you fill in that line.

How HubSpot and Pipedrive compare on each criterion

Data scope

A HubSpot account contains hubs, and seats give each user access to the hubs they need. HubSpot’s user documentation describes Sales and Service seats assigned user by user. The HubSpot data model holds contacts, companies, deals, tickets and products. It also holds marketing assets such as email templates and segments.

HubSpot’s own mapping of Pipedrive data shows a sales record set. It lists people, organizations, deals, products, notes and users. It also lists the calls, meetings, emails and tasks around those deals. A sales team can run its whole process inside that set. Marketing and service work then sits in other tools, and each tool requires its own sync back to the deal records.

Data model

Pipedrive keeps more than one close date on a deal. When Smart Transfer moves those deals, it reads won time, lost time and expected close date to fill HubSpot’s Close date property. Differences like this run through the whole model, so map your fields before you pick a platform.

Relationships carry over in a different form. Pipedrive’s organization relationships arrive in HubSpot as labeled associations, and deal participants arrive as contact associations. If you plan to track records beyond people, organizations and deals, design that structure early. We build custom objects, associations, property sets and pipelines around each client’s data model.

Users and access

HubSpot creates users by hand, from a CSV file or from an integration. Pipedrive is one of the integrations HubSpot can import users from. Creating users requires Super Admin permissions. Presets require a Professional or Enterprise subscription, and saved permission sets require Enterprise.

Those controls decide who can edit pipelines, properties and reports as the team grows. Choose the tier for the access rules you expect at your next hiring stage.

Migration effort and total cost

Staying on Pipedrive carries no migration work. A move to HubSpot carries an audit, a configuration, a sync and a cleanup, which the next section walks through. HubSpot introduced a seats-based pricing model for all new accounts on March 5, 2024. Your license quote therefore depends on which users need which seats.

Setup work sits on top of the licenses. Our project rate is $225 an hour, with a 10-hour minimum for new clients. Our average implementation costs $5K to $7K. You buy HubSpot licenses directly from HubSpot, and we recommend the hubs and tiers your teams need. The pricing page lists our retainers as well.

What moving from Pipedrive to HubSpot involves

HubSpot Smart Transfer moves data from Pipedrive into HubSpot in one direction. Only Super Admins can open it. HubSpot’s guide to transferring data with Smart Transfer sets out the work in this order:

  1. Audit. Smart Transfer reads your Pipedrive objects, record counts, pipelines, stages and fields, and maps each object to HubSpot.
  2. Configure. It creates the properties, pipelines, currencies and users you select, plus workflows that bridge the 2 data models.
  3. Sync. It moves the records, which can take several hours depending on data volume, then keeps syncing in the background.
  4. One-time transfer. It moves the data types the sync can’t carry.
  5. Cleanup. It marks empty properties for deletion and removes the transfer workflows.

The Pipedrive section of HubSpot’s supported apps list sends people to contacts and organizations to companies. Deals, products, notes, currencies and users go to their HubSpot counterparts. Calls, meetings, tasks and email activities become HubSpot activities. Custom activities map to calls, emails, meetings or tasks.

HubSpot’s documentation adds conditions that shape the plan:

  • Syncing Pipedrive activities requires a Data Hub subscription.
  • Transferring custom field mappings also requires Data Hub.
  • Smart Transfer syncs Pipedrive email activities and skips logged emails.
  • Attachments, deal participants, deal products and organization relationships move in a one-time transfer. That data stops updating after it lands.
  • Smart Transfer does not move custom objects.

For Pipedrive, Smart Transfer creates 2 workflows. One is the close date backfill described above. The other sets the Create date to match Pipedrive’s creation time. Check both against a sample of deals before anyone builds reports on them.

Our CRM data migrations add planning and checks around the transfer. Before any records move, we remove duplicates, standardize field values and archive the data that should stay behind. Records move in controlled batches, and we validate the result against your Pipedrive data. We work from an export, so your reps keep selling in Pipedrive until cutover. We recommend keeping Pipedrive accessible for at least 30 days after go-live.

A CRM data migration typically takes 6 to 12 weeks. For Notable, we migrated 5M+ records from Kustomer into HubSpot, including every email, SMS and custom event.

When Pipedrive is the better fit

Pipedrive stays the right choice while these conditions hold:

  • Sales is the only team that works in the CRM.
  • Your deal process fits people, organizations, deals and activities.
  • Marketing and service reports don’t need deal data.
  • No budget or window exists for a migration this year.

Under those conditions, a move adds cost and fixes no problem your team has today. Recheck the list each time you add a team or a revenue report.

When to switch to HubSpot

The choice tips toward HubSpot when one of these appears:

  • Marketing needs to see which campaigns produce deals.
  • Service needs deal and product history on each ticket.
  • Reports pull from 2 or more systems and disagree.
  • Access rules need presets or saved permission sets.
  • You track records beyond people, organizations and deals.

Imagine marketing sends its email from a separate tool while sales works deals in Pipedrive. Each campaign report then depends on a sync between the 2 tools. Each new field requires a change on both sides of that sync, and the work grows with every team you add.

Our HubSpot implementations follow 5 steps, and most run 6 to 12 weeks:

  1. Discovery and process mapping.
  2. A tech stack review.
  3. A phased build.
  4. Training on your own portal.
  5. Documentation and handoff.

Start with the Smart Transfer audit once you have a HubSpot account. Its record counts and field list show the size of the move. You can export the results and use them as the inventory for your migration plan.

Common questions

Is HubSpot better than Pipedrive?

HubSpot fits better when sales, marketing and service need one shared set of customer records. Pipedrive fits a company where sales is the only team in the CRM. Judge the choice on data scope, data model, user access, migration effort and total cost.

How expensive is Pipedrive compared with HubSpot?

The cost depends on your seat count, the tier each team needs and the setup work around the licenses. HubSpot accounts created since March 5, 2024 use a seats-based pricing model, so price the seats each user needs. Get a current quote from each vendor, then add setup and migration work to compare the totals.

What data does Pipedrive hold?

Pipedrive holds sales records such as people, organizations, deals and products. It also holds the calls, meetings, emails, tasks and notes around those deals. HubSpot's Smart Transfer documentation lists these objects when it maps Pipedrive data into HubSpot.

Can you move data from Pipedrive to HubSpot?

Yes, HubSpot Smart Transfer moves Pipedrive people, organizations, deals, products, notes, users and activities into HubSpot. Syncing Pipedrive activities requires a Data Hub subscription. Attachments, deal participants and deal products move in a one-time transfer that does not stay up to date.

Let's scope it together.
