What do CRM implementation services cover, and what do they cost?

Chris Bryant, Founder

Updated Oct 2026

CRM implementation services cover discovery and process mapping, a tech stack review, a phased build, training on your own portal, and documentation of what was built and why. At Bryant Works, the average implementation costs $5K to $7K, and most run 6 to 12 weeks. Ask for a written scope before you sign, and budget HubSpot licenses separately.

An implementation starts before anyone touches your portal. Someone maps how your team sells and serves customers today, and which tools hold that work. The build follows that map. A service that skips the mapping produces a portal shaped around defaults, and your team ends up working around it.

What an implementation service includes

An implementation covers the work between signing and a team that runs its day in HubSpot. Our HubSpot implementation service handles these project types:

  • Net-new builds for teams starting on HubSpot.
  • Rescues of portals that didn’t land after an earlier rollout.
  • Multi-brand and multi-entity builds.
  • Custom-object builds designed around your data model.

Each client gets one expert, who runs the discovery, builds the strategy, implements the portal and trains the team. The architect who runs your discovery call stays on as the lead through the build. No contractors or freelancers work in client portals, and we never white-label a project.

A project can add a CRM data migration or custom integrations. The written scope names each one, so you see what the implementation covers and what sits beside it.

How the 5 steps of an implementation run

Our implementations follow 5 steps in order. Each step produces something the next one depends on.

  1. Discovery and process mapping. We document how deals, handoffs and service requests move through your team today. The map becomes the spec for the build.
  2. Tech stack review. We list every tool that touches customer data and decide how each one connects. Each connection gets a native connector, third-party middleware or a custom build, based on data volume, sync frequency and maintenance needs.
  3. Phased build. We build the portal in phases, following the process map from discovery.
  4. Training on your portal. Your team learns in its own portal, with its real records and pipelines. We also record walk-throughs and write documentation that new hires can use later.
  5. Documentation and handoff. You receive a record of what we built and why. Your admins use that record to change the portal later without guessing at the original intent.

Our process page shows how audit, review and support fit around these steps.

What CRM implementation services cost

At Bryant Works, the average implementation costs $5K to $7K. Our project rate of $225 an hour fits defined scopes such as implementations, data migrations and custom builds. Every engagement starts with a written scope and transparent pricing.

Item Price Notes
Project rate $225 an hour 10-hour minimum for new clients
Average implementation $5K to $7K Set in the written scope
Growth Ops retainer $3,000 a month 15 hours, $200 an hour overages
Priority Ops retainer $4,750 a month 25 hours, $190 an hour overages
HubSpot licenses Bought from HubSpot Outside our rates

Our rates cover consulting, implementation and support. You buy HubSpot licenses directly from HubSpot, so budget them as a separate line. We sell no licenses, and we recommend the hubs, tiers and features your plan requires.

Both retainers carry a 3-month minimum. After it, you can pause or end a retainer with 30 days’ notice. In our project model, retainers belong to the Grow phase that follows the build. The pricing page lists what each plan includes.

How long an implementation typically takes

Most HubSpot implementations run 6 to 12 weeks. Most projects kick off within days of signing. Related work runs on its own typical timeline:

Work Typical length
HubSpot implementation 6 to 12 weeks
CRM data migration 6 to 12 weeks
Single integration, documented API 1 to 3 weeks
Multi-platform integration build-out 4 to 8 weeks
Custom builds 8 to 16 weeks
Process implementation and training 6 to 10 weeks for mid-sized teams

Two clients came to us after earlier rollouts failed. Restoration Climate Capital went live on HubSpot 70 days after signing, following 2 failed Salesforce implementations. LifeBridge Media went live 90 days after signing, after spending $100K+ on a failed Salesforce implementation.

What changes the scope

The average cost and the typical timeline describe a common scope. These conditions add work to it:

  • More than one brand or legal entity in a single portal.
  • Custom objects with their own associations and pipelines.
  • A migration from another CRM, with its own audit, cleanup and batch work.
  • Integrations with systems that lack a native connector.
  • A rescue, where the current portal needs a diagnostic before any new build.

During scoping, we check that any migration or integration is feasible before we price it. When an audit finds work outside the agreed scope, we bring it to you with options and pricing. We do no work you have not approved.

The $5K to $7K average tells you little about a multi-entity or custom-object project. Those scopes depend on your data model, and only a written scope prices them.

What to ask before you sign

Put these questions to any implementation provider before you sign:

  • Who runs discovery, and does that person stay through the build?
  • Does the scope list each step with a price and a typical timeline?
  • Will training happen in your own portal, with your records?
  • What documentation do you receive at handoff?
  • Who works in your portal, and are they employees or contractors?
  • How does the provider handle work found outside the scope?

Before your first call, write down every tool that holds customer data and the person who owns it. That list feeds the tech stack review and gives discovery a head start.

Common questions

What do CRM implementation services include?

CRM implementation services include discovery and process mapping, a tech stack review, a phased build, training and documentation. At Bryant Works, training happens in your live portal with your real data and pipelines. Every implementation ends with documentation of what was built and why.

How much does a HubSpot implementation cost?

At Bryant Works, the average implementation costs $5K to $7K. Our project rate is $225 an hour, with a 10-hour minimum for new clients. HubSpot licenses are a separate cost, and you buy them directly from HubSpot.

What does a CRM implementation partner do?

An implementation partner maps your processes, designs the portal, builds it and trains your team to run it. At Bryant Works, one expert runs the discovery, builds the strategy, implements the portal and trains the team. The partner also documents the build so your admins can change it later.

How long does a HubSpot CRM implementation take?

Most HubSpot implementations run 6 to 12 weeks. A CRM data migration typically takes 6 to 12 weeks as well, and the written scope shows how the two fit together. Restoration Climate Capital went live on HubSpot 70 days after signing with Bryant Works.

Let's scope it together.
