HubSpot migration guide
What do HubSpot migration services include?

HubSpot migration services cover the move of your CRM data from audit to validation, with your HubSpot data model designed before any record moves. Cleaning sets the quality of the new portal, because duplicates and inconsistent values carry straight into HubSpot. Your first step is a count of records per object in your current CRM.

- 660+ client organizations
- 330+ five-star reviews
Your current CRM holds more than contacts and deals. It also holds years of activity history, plus the associations that tie each record to the others. A migration service moves that whole structure into HubSpot and checks it on arrival. Bryant Works has migrated 3.3B+ records for clients.
The stages of a HubSpot migration
Every migration we run moves through the same 5 stages, in order. Each stage produces something the next one depends on.
- Audit of the current CRM. We review what your system holds and how your team uses it. The audit also flags data that should stay behind.
- Data model design. We map your objects and properties to their HubSpot equivalents. Custom objects keep their relationships to the records around them.
- Data cleaning. We fix duplicates and inconsistent values in the source data. The next section covers this stage in detail.
- Staged migration. Records move in controlled batches instead of one bulk load. A problem in one batch stays contained to those records.
- Validation and handoff. We validate the migrated data against the source. Your team then takes over the portal.
The work runs from an export of your current CRM. Your teams keep selling and serving customers in the old system until go-live. During scoping, we check that the migration is feasible. That check happens before you commit to the build.
We migrate from these source systems, among others.
- Salesforce and Pardot
- Zoho and Pipedrive
- Kustomer
- Microsoft Dynamics
- Spreadsheets and custom databases
- Legacy and homegrown tools
For Notable, we moved 5M+ records from Kustomer into HubSpot. The move carried every email and SMS along with each custom event. Our CRM data migration service follows the same stages for smaller portals.
What gets cleaned before the move
Cleaning happens in the source data, before HubSpot receives a single record. A duplicate fixed at this stage never reaches your reps.
- Deduplication. We merge duplicate records so each person or company carries one activity history.
- Normalization. We standardize field values so filters and reports return every matching record.
- Archiving. We set aside data that should stay behind, such as leads your team agrees to retire.
Suppose your old CRM stores the same country under several spellings. A report filtered on one spelling misses the records stored under the others. Normalization collapses those spellings into one value before import, so the report counts every record.
Cleaning also has a limit. It fixes values that exist in the old system and cannot supply data your team never entered. If your deals never recorded a lead source, they arrive in HubSpot without one.
Ask to see the cleaning rules in writing before the batches start. Each rule changes your data, so someone on your team should approve it.
How long a HubSpot migration takes
A CRM data migration typically takes 6 to 12 weeks. The audit findings set where your project falls in that range. Each custom object needs its own mapping and its own validation. A portal with many objects and long email histories lands toward the upper end.
A migration often sits inside a wider project, so the table lists the related work too.
| Work | Typical timeline |
|---|---|
| CRM data migration | 6 to 12 weeks |
| HubSpot implementation | 6 to 12 weeks |
| Single integration with a well-documented API | 1 to 3 weeks |
| Multi-platform integration build-out | 4 to 8 weeks |
| Process implementation and training | 6 to 10 weeks for mid-sized teams |
Most projects kick off within days of signing. Two clients moved to HubSpot after Salesforce rollouts that failed.
- Two Salesforce implementations failed Restoration Climate Capital, and its HubSpot launch came 70 days after signing.
- Within 90 days of signing, LifeBridge Media launched on HubSpot. It had spent $100K+ on a Salesforce implementation that failed.
What a HubSpot migration costs
Every engagement starts with a written scope and transparent pricing. Our project rate fits defined scopes such as data migrations.
| Item | Price |
|---|---|
| Project rate | $225 an hour |
| Minimum for new clients | 10 hours |
| Average implementation | $5K to $7K |
| Growth Ops retainer | $3,000 a month for 15 hours |
| Priority Ops retainer | $4,750 a month for 25 hours |
| Retainer minimum | 3 months |
The $5K to $7K figure is our average for an implementation. A migration’s price depends on what the audit finds in your data.
Our rates cover our consulting and implementation work. HubSpot sells you the licenses directly, and we advise on the hubs and tiers your team needs. The pricing page lists both retainer plans and their terms.
You see priced options for any work the audit uncovers beyond the agreed scope. Every task waits for your approval before it starts.
What your team owns during the migration
A dedicated expert runs your project from discovery through training. The architect who joins your discovery call stays on to lead the build. Your team still owns the decisions only it can make.
- The archive list. Your team approves which records stay behind before cleaning ends.
- Field questions. A named person on your side answers questions about each object’s fields.
- Validation sign-off. Your reps compare accounts they know well in HubSpot against the old CRM.
- Training time. Your team attends sessions in your portal, with your real data and pipelines.
New hires can learn the portal later from the recorded walk-throughs and written guides we hand over. We also recommend keeping the old CRM accessible for at least 30 days after go-live. Your team will use it to check any record that looks wrong.
Before scoping starts, list every tool that writes data into your current CRM today. Each of those connections needs a new home in HubSpot, so the list shapes your timeline as much as the record count does.
Common questions
What is CRM data migration?
CRM data migration is the move of your records, and the links between them, from one CRM into another. A sound migration also carries activity history such as emails and notes. The work includes cleaning the data before the move and validating it against the source afterward.
How long does a HubSpot migration take?
A CRM data migration into HubSpot typically takes 6 to 12 weeks. An audit of your current CRM shows where a project falls in that range. Most Bryant Works projects kick off within days of signing.
How do you migrate data from one CRM to another?
You migrate CRM data in stages, cleaning it before the move and validating it after. The work starts with an audit of the old system and a design for the new data model. Records then move in controlled batches from an export, so the old CRM keeps running. A final validation compares the migrated data to the source.
Will we lose data when migrating to HubSpot?
A migration with a full field map and a check against the source data should not lose records. Losses come from skipped checks, such as fields with no mapping or batches nobody compares to the old system. Keeping the old CRM accessible for at least 30 days after go-live lets your team confirm any record that looks wrong.
